The challenge: International growth requires better internal communication
Packit has been an important partner for major European retailers for decades. What started as a relatively small company grew into an international organization with customers, suppliers and colleagues spread across several countries.
Despite that growth, the team remained compact. This makes strong internal communication essential.
Previously, communication took place through different channels:
- an internal newsletter
- separate documents
This created several challenges. For example, the monthly newsletter was compiled by one person. By the time employees read it, part of the news was already outdated.
In addition, colleagues at Packit work in several countries, including Germany, Italy, France, Poland, Ukraine and Vietnam. This made it harder to keep everyone involved.
We wanted more connection between colleagues in different locations. What are they doing? What are we doing? And what can we learn from each other?
Language also played a role. Internal communication often took place in Dutch or English, which could create an additional barrier for international colleagues.
The solution: One central platform for communication and knowledge sharing
To improve internal communication, Packit chose Speakap as its central platform.
The goal was to bring all communication together in one place and make it easier for employees to share and retrieve information.
Today, employees use Speakap to share:
- updates about new customers
- product introductions
- trade fairs and store visits
- presentations to retailers
- internal announcements
Where communication previously often took place via email, everyone can now easily share updates.
The barrier to sharing something is much lower. Speakap feels less formal than sending an email to everyone.
International collaboration becomes easier
An important advantage for Packit is Speakap’s automatic translation.
Colleagues can now read messages in their own language. This ensures that information is understood more quickly and that employees can respond more easily.
When you read something in your own language, it immediately feels more personal and you feel more connected.
This makes collaboration between teams in different countries easier.
Knowledge sharing between teams
In addition to news and updates, Packit also uses Speakap to share knowledge.
For example, colleagues can see when a team uses a successful presentation or approach with a customer. That information can then also be applied in other countries.
If someone in the Netherlands shares a presentation and a colleague in Italy sees it, they can immediately use it with their own customers.
Packit also uses the Speakap knowledge base to centralize important information. Currently this mainly concerns HR documentation, but other departments such as Quality and Training will use it in the future.
More overview and less email
One of the first benefits employees notice is the overview.
Updates are now available in one central place and can easily be found through the search function.
In the past, information quickly disappeared somewhere at the bottom of your mailbox. Now you know exactly where the news is.
As a result, the platform increasingly becomes an internal place where employees follow updates, similar to an internal social network.
Another practical advantage the team quickly noticed is the ability to edit messages after they are posted.
With emails, a small mistake often leads to multiple corrections or additional messages. In Speakap, a message can simply be edited without extra noise.
This makes communication clearer and prevents confusion.
