When you use our application as an employee of an organization, the organization in question is the controller for the personal data processed in our application. We are then only a processor. For what purposes do we use your personal data?

This privacy and cookie statement explains what we at Speakap do with information we learn about you when you use our services or visit our website at www.speakap.com. By using our services or visiting our website, we obtain various types of personal data from you. Below we indicate for each purpose what data we obtain from you, for what purpose we process this data and how long the data is stored. Providing our services

As an organization, you can use our services for internal communication with employees, training sessions and collaborations.

We process this personal data in order to perform the agreement we enter into with you. We keep this information for up to one year after the end of the agreement. That way, should you still wish to return to us within a year of the agreement being terminated, you do not have to provide your data again. We store some data longer if we are legally obliged to do so (e.g., because of the legal tax retention period).

Request demo

Through our website, you can request a demo to learn about our services.

For this purpose, we process the following personal data:

We process this personal data in order to perform the agreement we enter into with you. We keep this information for a period of 6 months. Should we not be able to get in touch with you, or should you decide to cancel the demo, your personal data will be deleted after this period. If you decide to use our services based on the demo, we will keep the information for up to one year after the end of the agreement.

We will not delete the company name and number of employees after 6 months. We leave this data in our system so that we can see which organizations we have been in contact with in the past.

Experiences

On our website we post experiences of users of our application. 

For this purpose, we process the following personal data:

  • Content of shared experience

We do this based on your consent. We will keep this information until you withdraw your consent. You can withdraw your consent at any time by contacting us using the contact details at the bottom of this privacy and cookie statement.

Becoming a partner

Through our website, you can sign up as a partner of Speakap.

On our website you can find various resources, such as whitepapers, eBooks and checklists related to Speakap’s products and services. These resources can be downloaded free of charge. However, before you can download the resources, we ask you to fill in some information so that we can contact you for concrete advice on the use of our products and services within your organization.

We process this personal data in order to perform the agreement we enter into with you. We keep this information for a period of 6 months. Through our website you can subscribe to our newsletter. In this newsletter we will inform you monthly by email about (improvements in) the products and services of Speakap and developments within our organization.

We do this based on your consent. We keep this information until you unsubscribe from the newsletter. You can unsubscribe at any time. Every newsletter contains an unsubscribe link.

Contact
If you have any questions or comments about our products or services, please contact us directly. You can contact us in different ways. You can contact us by phone, but also via the contact form or via email. During opening hours, you can also use the chat function and send your question directly to one of our employees.

For this purpose, we process the following personal data:

We may perform analyses on the personal data we obtain through the use of our services. We do this in order to improve our services. We therefore have a legitimate interest in doing this. We will pseudonymize the personal data we use to perform analyses and keep it for a maximum of 3 years. After this we will anonymize the personal data (see below). If you do not want us to use your personal data for analyses, you can object at any time by contacting us using the contact details at the bottom of this privacy and cookie statement.

Anonymize

We may anonymize personal data obtained through the use of our services. This means that the personal data originally obtained by us are made anonymous in such a way that the data subject is no longer identifiable from these data. The data is therefore no longer personal data and there are no privacy risks involved.

We have a legitimate interest in anonymizing data. This is because through this anonymized data we can improve our services.

Job applications

Have you responded to one of our vacancies or submitted an open application? If so, we will process your personal data in order to process your application and in preparation for the possible conclusion of an employment contract.

We keep this information so that we can contact you in the event that the position becomes vacant again within the probationary period. If we are unable to offer you a job at this time, we may - with your consent - keep your application details for a further year. You can withdraw your consent at any time by sending us an email. If you come to work for us, we will save your application data in the personnel file.

A social media and internet check can be part of the application procedure. This is necessary to ensure that our image is maintained when hiring new staff. We do this on the basis of our legitimate interest. For this purpose, we search your name on Google and, if necessary, your profile(s) on social media. This of course, for as far as these profiles are public; we will not ask you to grant us access to a protected social media page or to make a connection with us. The results of this social media and internet check will be discussed with you. If you object to this, you can indicate this by e-mail at the time of your application. 

When may we share your personal data with third parties?

We share your personal data with third parties only when permitted by current law. We may provide your personal data to third parties because:

  • it is necessary to carry out the agreement with you;
  • you give permission for this;
